One operating home

The work behind the gate, finally in one place.

GatehouseHQ is purpose-built for the jobs generic HOA websites leave to spreadsheets, shared inboxes, and paper logs.

Designed around volunteer boards that need clear workflows without becoming full-time software administrators.

Gate operations

Keep resident, visitor, vendor, vehicle, and RFID access records together instead of across texts and spreadsheets.

Board operations

Move meetings, packets, minutes, official votes, and approvals through one clear board workflow.

Resident communication

Publish announcements, events, documents, and maintenance updates without maintaining five separate tools.

Secure community records

Use role-based access, passkeys, and multi-factor security for the information that should never live on a public website.

Gate operations

From resident request to gate-ready record.

Give residents a clear way to request access and give the board a reliable way to approve, distribute, expire, and review it.

Every handoff has an owner and status, so the board can see what is ready before it becomes a line at the gate.

    Gate receives

Approved information reaches the operating team with an audit trail.

  4. 04

    Records stay current

Expirations, rotations, and status changes remain visible to the board.

  • One source for agendas, packets, and minutes
  • Clear response status for official board votes
  • Resident-facing publishing when the board is ready
Our launch standard

Resident data earns a higher bar than a website login.

No paid community launches until its environment passes the security, permissions, secrets, storage, and recovery gate.

Community isolation

A separate application environment, database, file store, domain, and secrets for every pilot community.

Least-privilege access

Server-enforced permissions for residents, vendors, board members, property managers, and administrators.

Verified recovery

Scheduled backups are only counted when a documented restore drill succeeds.

Controlled releases

One maintained product release, repeatable upgrades, monitoring, and a rollback path for each community.

Founding pilot status: prelaunch

Applications open only after every deployment gate has evidence behind it.

Questions

Straight answers.

Is this another public HOA website builder?

No. The platform is focused on the private operating work of a gated community: access, vendors, vehicles, board decisions, resident records, and official communication.

Does the platform collect dues or replace accounting software?

Not in the first release. It is designed to complement your accounting system and solve the gate, board, records, and communication work that generic website tools leave behind.

When can a community join the founding pilot?

Pilot intake opens only after the application passes its security, data-isolation, storage, secrets, and backup review. The founding cohort will be limited to three communities.
